Format Matters More Than You Think
The file format you choose for your resume submission affects how it is displayed, parsed by ATS, and perceived by recruiters. Choosing the wrong format can cause formatting disasters, parsing failures, or simply an unprofessional impression.
PDF: The Default Choice
PDF is the best format for most resume submissions. It preserves your formatting exactly as designed across all devices and operating systems. Modern ATS platforms parse text-based PDFs accurately. PDFs cannot be accidentally edited by the recipient. Always ensure your PDF is text-based (text is selectable) rather than image-based (scanned).
DOCX: When Specifically Requested
Submit as DOCX only when the application explicitly requests Word format or when working with recruitment agencies that need to edit your resume. DOCX files are natively parseable by all ATS systems. The downside: formatting may shift depending on the recipient's Word version and installed fonts.
Formats to Avoid
- .doc (old Word): Outdated format with compatibility issues. Always use .docx.
- .jpg/.png: Image formats contain no extractable text. ATS sees nothing.
- .pages: Apple-only format. Most ATS and Windows users cannot open it.
- .odt: Open Document Format has inconsistent ATS support.
- Google Docs link: Always download and upload a file. Never share a link.
Creating ATS-Safe Exports
When exporting your resume, verify these things: text is selectable in the PDF (open it and try to highlight words), fonts are embedded (the document looks correct on other devices), file size is reasonable (under 5MB), and the file name is professional.
