The best resume file name follows this structure:

If you are applying for a specific role and want to be extra organized, you can include the position: Sarah_Mitchell_Marketing_Manager_Resume.pdf or James_Chen_Senior_Developer_Resume.pdf. This helps recruiters who manage multiple job postings find your resume quickly.
File Names to Avoid
- Generic names: resume.pdf, cv.pdf, document.pdf, my_resume.pdf — these make it impossible to identify the file without opening it.
- Version numbers: resume_v4.pdf, resume_FINAL.pdf, resume_updated_May.pdf — these suggest disorganization.
- Dates only: resume_2026.pdf, cv_may2026.pdf — not specific enough to identify you.
- Special characters or spaces: résumé (1).pdf, John's Resume!.pdf — special characters can cause issues with some systems.
- Long file names: John_Smith_Senior_Marketing_Manager_Resume_Application_Tech_Corp_May_2026.pdf — keep it concise.
Format: PDF vs. DOCX
Always submit as PDF unless the application specifically requests a Word document. PDFs preserve your formatting across all devices and operating systems. When you name a DOCX file, use the same convention: FirstName_LastName_Resume.docx.
Consistency Across Documents
If you are submitting multiple documents — resume, cover letter, portfolio — use consistent naming:
